Ok, I have bean asked this on another forum. As I have had some very nice items from members here.
I will explain what happens to all donations I receive.
The box or what ever the item or items is received in is documented, who, why, where and the relationship to me.
Then it will be given a Tracking number, unique to the MIS or what charity.
That means no chance of cross contamination of donations.
Today may of been:
Smith10/12/09/23/01.
Smith, the the donation number, the date and 01 is simple.
Each item is removed and recorded.
This would be:
Smith10/12/09/23/01-01-Bag parts assorted.
This would be placed into a container, that would be labeled.
Then the contents would be sorted, numbers and graded.
This, has be requested, by a forum member. But it will go through the whole process.
Why do we do all this extra work.
We are a charity. All items in or out have to be logged. Traceability and accountability.
Then when it is all listed we look into each item.
It is logged out for inspection, to who date etc.
This as an example.
Smith10/12/09/23/01-10-0-Welding Chipping Hammer.
It would be logged out.
To TYA-12/09/23=18:30-assement.
It would be assessed.
In this case.
Restorable, average condition and worth time.
Then it goes back, until we are doing metal de-rusting.
This Bit and Brace will be assessed and then it will be considered for its future.
We have a lot of these.
So is it better than what we have or could it be, if yes, we move on.
If no. Can we swoop it with another bunch.
Then it will be logged out to them and noted.
If not, say it is a to far gone.
Can we save parts, if so it will be.
Metal will be weighed in and the funds used in the Shed. Again it will be documented.
So it can be traced and followed for its life in the MIS
These.
Will go through all of the above. Then they will be added to a Metal Work Tool set. They will be marked and then added to the contents of the box.
A few years ago, we received a large donation of tools. turns out they should not of been given to us.
When we found out, we found all but 2 tubs of screws. They had been used to restock.
The Grand daughter was very happy.
Now. If there is an item I like, or another member likes.
We may part with funds for it.
Again logged in the donation log and funds received in the accounts books.
We can asked for donation/ grants etc. To restore tools etc.
This is one we are going to asked for funds to safe this.
So it is logged and then we access what needs to be done.
We then find out who can supply the parts, we have to get 2 quotes and from UK suppliers. Then what consumables are needed. They have to be priced as well.
We apply and if we get the funds we go ahead. Documenting each stage.
